Coordinator for the Coat Boston/Christmas Shop Program – Temporary

Hancock Church in Lexington, MA is seeking to hire a Coordinator for the Coat Boston/Christmas Shop Program.

Title: Coat Boston/Christmas Shop Coordinator

Job Description: Coat Boston and The Christmas Shop coordinate donations of coats, toys and gift cards from churches and organizations in the Metro-Boston area to children in Boston Public Schools and organizations in Boston that work with individuals and families in need of resources.

The Coat Boston and Christmas Shop Coordinator provides operational, administrative and communications support to the program by working with donors, recipients and the staff of Hancock Church to ensure that the donations are transferred smoothly from donors to recipients.  They coordinate volunteers within Hancock’s congregation to sort donations, and establish drop off and pick up times for donors and recipients.

The successful candidate will be an effective communicator with strong administrative skills, and experience with a comparable coordination role.

Duties and Responsibilities:

  • Secure items for the Christmas Shop and Coat Boston through publicity including social media and direct outreach
  • Coordinate and communicate with organizations that will receive the coats and gifts to secure their requests for items
  • Outreach and coordination with individuals, organizations and congregations to receive donations of coats and gifts
  • Arrange drop off times with donor organizations and pick-up times with recipient organizations
  • Respond to emails and requests in a timely manner
  • Create and maintain system(s) to:
    • document all donations received, including Gift Cards that come into the Christmas Shop,
    • ensure that the requested gifts are distributed to the various recipient organizations
    • issue tax deductible receipts where appropriate
    • track acknowledgment letters to donors, congregations, etc.
  • Set up and manage space where donations and requests will be processed
  • Schedule and manage volunteers who will come to the Christmas Shop to sort gifts and coats
  • Work with Hancock staff/board/volunteers to provide information to the volunteers
  • Report to the Senior Minister, Moderators and Standing Committee as needed
  • Purchase items when required to supplement donations
  • Secure in-kind donations, including snacks, boxes, and other packing supplies
  • Produce a final report for Hancock Church
  • Other duties as assigned

 

Additional requirements:

  • Ability to lift and/or move 30-50 pounds
  • Comfort with both Office365 and Google Workspace
  • There is a high level of confidentiality necessary for this role

 

Reports to: Senior Pastor

 

Hours: 20-25 hours per week in person with occasional Sundays required. Position is temporary and ends Mid-January 2024.

Pay rate: $25 per hour
